RepBetter Privacy Policy

RepBetter is a workforce tool for field-marketing agencies. Agencies use it to schedule in-store product demos, confirm that staff arrived at the right store, and collect shift reports. This policy explains what the RepBetter web app and the RepBetter iOS and Android apps collect, why, and what control you have over it.
Who is responsible for your data
RepBetter is provided to agencies, not to the general public — there is no public sign-up, and every account is created by an agency administrator.
- Your agency decides what data is collected about you, who inside the agency can see it, and how long it is kept. If you are a brand ambassador or field rep, your agency is the party you should contact first about your data. In data-protection terms, the agency is the controller and RepBetter is a processor / service provider acting on its instructions.
- RepBetter — operated by Zomatica LLC — is responsible for running the service securely, and acts as controller for the account records of the agencies we contract with directly. “We,” “us,” and “our” in this policy mean Zomatica LLC.
Information we collect
Account information
Provided by you or entered by your agency administrator: your name, email address, and role. Optionally, a phone number, a home address (with its approximate coordinates), and a profile photo. Passwords are stored only as a salted hash — never in a form we can read.
Location at check-in and check-out
When you check in, start a break, end a break, or end a shift, the app asks your device for its current position and stores the coordinates alongside that punch, together with the distance to the scheduled store and whether you were inside the store’s geofence. See Your location, in detail below.
Shift and report content
The shifts assigned to you, your check-in and check-out times, and what you submit in a shift report: units sampled and sold, shoppers engaged, written notes, photos of the demo setup, and the signature you draw when you confirm your timesheet. Agency administrators may add written feedback on a report and send it back for changes.
Mileage
If your agency uses mileage tracking, we calculate the distance between your saved home coordinates and the store so that your agency can reimburse you. What we store is a single distance figure for that shift.
We do not track your journey. We do not record the route you actually drove, where you stopped, or when you set off, and the app does not collect location while you travel. The figure is an estimate of a typical trip between two fixed points, not an observation of your movements.
Today that estimate is a straight-line calculation we perform ourselves. We expect to improve it by asking a mapping provider (Google Maps Platform) for a representative driving distance instead, so reimbursement better reflects real roads. If and when we do, the only information sent to that provider is the pair of endpoints — your home coordinates and the store’s — and all we keep is the distance returned. Your identity, your name, and your shift details are not sent.
Device and technical information
If you enable notifications, we store a push token for your device (Apple or Google) or a browser push subscription, so we can notify you about shift assignments, reminders, and cancellations. These are deleted when you log out or when the push service tells us they are no longer valid. Our servers also keep ordinary web-server and application logs, which include IP addresses, for security and troubleshooting.
Your location, in detail
Location is the most sensitive thing RepBetter handles, so here is precisely how it works.

Opting out of location
Location is optional and you can decline or withdraw it at any time, using your device’s own settings:
- iOS: Settings → Privacy & Security → Location Services → RepBetter → Never.
- Android: Settings → Apps → RepBetter → Permissions → Location → Don’t allow.
- Browser: your browser’s site-permissions panel for this site.
You can also simply decline the permission prompt the first time it appears.
What happens if you do: the app keeps working. You can still check in, take breaks, end your shift, and file reports. The punch is recorded with a timestamp and no coordinates, and is flagged to your agency’s administrator as unverified so they can confirm your attendance another way. Because attendance verification is part of the job your agency is paying you for, your agency may have its own policy about this — that is between you and your agency, not something RepBetter enforces.
How we use information
Solely to operate your agency’s demo program: scheduling and staffing shifts, verifying attendance, computing hours and mileage, collecting and approving reports, sending you notifications about your own shifts, and providing your agency with reporting on its programs. We also use it to secure the service, prevent abuse, and meet legal obligations.
We do not use your data to build advertising profiles, and we do not make automated decisions about you that produce legal or similarly significant effects.
What we do not do
- We do not sell or rent your personal information to anyone, and we do not share it for cross-context behavioural advertising.
- We show no advertising of any kind.
- We run no analytics, tracking, or attribution software. There is no third-party analytics SDK, crash-reporting SDK, or advertising SDK in the apps.
- We do not track you across other apps or websites.
- We do not read your device’s contacts, calendar, messages, browsing history, or files.
Who your information is shared with
Within your agency
Administrators of the agency you work for can see your profile, schedule, check-in records (including location), timesheets, and reports. Where an agency’s client or brand has been given access, that access is limited to reporting on that client’s own products and programs. Your data is scoped to your agency’s organization and is never visible to other agencies.
Service providers
We use a small number of vendors to run the service. They process data on our instructions and are not permitted to use it for their own purposes:

Legal
We may disclose information if required by law, or to establish or defend legal claims. If RepBetter is ever involved in a merger or acquisition, data may transfer as part of that transaction; this policy would continue to apply until you are told otherwise.
Cookies
RepBetter sets a single, strictly necessary cookie: an encrypted, HTTP-only session cookie that keeps you logged in for up to seven days. It contains no advertising or tracking identifiers. Logging out clears it. We use no analytics, advertising, or third-party cookies, which is why you see no cookie banner.
Storage and security
Data is stored on servers operated for RepBetter. All traffic between your device and our servers is encrypted with TLS (HTTPS). Passwords are stored as salted hashes; password-reset links are stored only as hashes and expire after a short window. Access is scoped so that each agency sees only its own organization’s data. Uploaded photos and signatures are stored on the application server.
No system is perfectly secure, and we cannot guarantee absolute security — but we do not retain data we have no operational reason to hold.
How long we keep data
We retain your information for as long as your agency’s account is active, because attendance records, timesheets, and reports are business records your agency needs to keep. When an agency closes its account, its data is deleted or anonymised within a reasonable period, except where we are required to retain it by law.
Push tokens are deleted as soon as you log out. Password-reset tokens expire automatically.
Your rights and choices
You can view and update much of your profile in the app. For anything else — a copy of your data, a correction, or deletion — contact your agency administrator first, since your agency controls the account. You can also email us at admin@repbetter.com and we will help, or pass the request to the responsible agency.
Depending on where you live, you may have the right to:
- access the personal information we hold about you, and receive a copy;
- correct information that is inaccurate;
- ask for your information to be deleted;
- object to or restrict certain processing, and withdraw consent (for example, location) at any time;
- be free from discrimination for exercising any of these rights.
California residents
We do not sell personal information and we do not share it for cross-context behavioural advertising, including for anyone under 16. We collect the categories described above — identifiers, geolocation, photographs and other user content, and internet or network activity in the form of server logs — for the business purposes described above. You may exercise your rights to know, delete, and correct by contacting us at the address below; we will not treat you differently for doing so. You may use an authorised agent to make a request.
Children
RepBetter is a workplace tool intended for adults. It is not directed at children, we do not knowingly collect information from children, and accounts cannot be self-created — every account is provisioned by an agency.
Changes to this policy
If we change how we handle data, we will update this page and revise the date at the top. For significant changes we will notify agency administrators, who will inform their staff. The current version always lives at this address.
